- If any tour services are modified, varied, amended, cancelled, or not utilized.
- If the tourist decides and/or is required to cancel the tour due to changes in government rules or regulations.
- If the tour is indefinitely postponed due to natural calamities, riots, political unrest, or any other unforeseen circumstances.
- Refunds are not applicable for non-refundable air tickets, and date changes are not permitted.
- In the event of Force Majeure, including but not limited to:
- War, hostile invasion, acts of foreign enemies
- Rebellion, revolution, insurrection, military or usurped power, or civil war
- Epidemic or pandemic
- Explosion, fire, flood, earthquake, or any other natural calamity
- Ionizing radiation or contamination by radioactivity from nuclear fuel or nuclear waste
- Toxic explosion or other hazardous properties of nuclear assemblies or components
- Riot, commotion, or disorder
- Any act or omission of any government authority
- Changes in legal requirements
- Strikes, lockouts, or other industrial disturbances
- Abnormal weather or sea conditions, including tempest, lightning, hurricane, typhoon, heavy rain, or extreme temperatures
- 90 days or more before departure: 10% of the tour cost.
- 89 to 60 days before departure: 25% of the tour cost.
- 59 to 45 days before departure: 50% of the tour cost.
- 44 to 35 days before departure: 75% of the tour cost.
- 34 days or less before departure: 100% of the tour cost.
- The itinerary may change depending on airline or hotel availability.
- Early check-in will be requested wherever required; however, it is strictly subject to hotel availability.
- The final itinerary will be prepared based on the confirmed flight schedule and will be shared 7 days prior to departure.

- There will be no luggage handling facility throughout the tour in the motor coach, hotels, or at the airport. Passengers are required to handle their own luggage.
- Passengers carrying check-in baggage exceeding 15 kg will be liable to pay excess baggage charges directly to the airport or airline authorities. Hand baggage of up to 5 kg per person is permitted.
- The temperature in Japan generally ranges between 5°C to 15°C in winter and 18°C to 30°C in summer.
- Tips are not included in the tour cost.
- Any unused service, facility, sightseeing, or tour is non-refundable.
- Passengers are requested to ensure that their passport is valid for at least six months from the date of travel.
- PickYourVacay is a travel and holiday organizer. We do not own or control any airlines, shipping companies, coach operators, hotels, transport providers, or any other facilities/services mentioned in this brochure. While we carefully select our service partners, the company shall not be responsible for any errors or deficiencies on the part of airlines, hotels, consulates, or other third-party service providers.
- All travellers must clear their outstanding payments at least 45 days prior to departure. Failure to do so may result in the company cancelling the booking without prior notice.
- Any personal expenses incurred during the stay, including but not limited to drinks, snacks, beverages, television charges, minibar usage, overflow of water from bathrooms, room damages, or any other personal expenses, must be settled directly by the passenger before hotel check-out. Any items or services not specifically mentioned in the itinerary shall be payable by the individual.
- Any service provided by hotels, airlines, restaurants, transport providers, or other vendors is beyond the direct responsibility of PickYourVacay Pvt. Ltd. In case a particular service is unavailable, an alternate similar service may be arranged.
- Guests are strongly advised to consult the respective Embassy or Consulate regarding visa requirements before booking. Booking a tour with PickYourVacay does not guarantee visa approval. The company will only assist in collecting the required documents and submitting the visa application on the client's behalf. Any visa delays, refusals, or rejections by the Embassy/Consulate that result in tour cancellations will attract applicable cancellation charges as per the company's cancellation policy.
- PickYourVacay Pvt. Ltd. shall not be held responsible for any loss of luggage, passport, property, currency, injuries, or death during the tour. While the company arranges services such as airlines, visas, hotels, sightseeing, and meals on behalf of its clients, it shall not be liable for deficiencies in services provided by third-party vendors.
- Any departure tax or airport tax, if applicable and required to be paid directly by the passenger at the airport, is not included in the tour cost.
Terms & Conditions:
We at PickYourVacay Private Limited take immense effort to provide you the best service in a friendly atmosphere. We want to provide you a satisfied, safe and secure holiday without any misunderstanding between the company, the tour leaders and you during your holiday. Therefore, we request you to go through the following Terms and Conditions before you register yourself for any tours/packages.
Contract
All the tours are operated by PickYourVacay Pvt. Ltd. When you book the tour, it is a contract between you and the tour company. All bookings are accepted only on the basis that you have thoroughly read and accepted the below-mentioned Terms and Conditions.
Booking Contract
The registration amount given at the time of booking is deductible as per cancellation policy and non-transferable. Bookings will be processed by the tour company only after the registration amount is paid in full. The balance payment must be made 45 days prior to the departure date. If the tourist fails to pay the balance amount within the stipulated time, the tour company reserves the right to cancel the booking with forfeiture of the amount paid. In case a cheque issued by the tourist in favour of the company is dishonoured, the company reserves the right to initiate necessary legal action and cancel the booking.
Tour Package Cost
The tour package cost is calculated considering an exchange rate of 1 JPY = INR 0.595. The final package price will be calculated as per XE + ₹0.15 at the time of confirmation.
Group Fare Rules
The group cost is based on a minimum of 8 travelling passengers. If the minimum travelling passengers are fewer than 8, the group tour will be cancelled. Confirmed tourists will be offered a private tour at an additional cost payable by the tourist, or they may opt for a full refund excluding airfare and visa charges, if already booked.
Airfare
International airfare is not included in the package.
Tour Manager:
Provision of a Tour Manager is subject to the final operating group size. An accompanying Tour Manager will be provided for groups of 18 or more confirmed passengers. For groups with fewer than 18 passengers, the tour will operate on a Seat in Coach (SIC) / Free independent Tour (FIT) basis, and a Virtual Tour Manager or local representative/assistance will be provided to assist remotely with coordination, guidance, daily briefings, reconfirmations, and on tour support. The Virtual Tour Manager does not accompany the group in person. The company reserves the right to operate the tour without a physical Tour Manager should the final group size be less than 16 passengers. Confirmation of Tour Manager arrangement will be communicated 7-15 days prior to the departure.
Taxation
As per the Government of India, GST @ 5% and TCS @ 2% (as applicable) are mandatory over and above the land package cost. If any additional taxes are imposed by the Government after the booking has been made, the tourist shall be liable to pay the same.
Accommodation
3/4* hotels will be provided throughout the tour. Standard hotel check-in time is 15:00 hrs and check-out time is 11:00 hrs. Twin or double sharing rooms will be allotted as per hotel availability and cannot be guaranteed. The company has no control over the allocation of rooms, as it is entirely at the discretion of the hotel. All rooms offered are Standard/Base Category rooms. Any room upgrade will be subject to an additional supplement cost. Room size are generally very small in japan ranging from 140-200 sq ft and twin rooms are very common and bedding shall be at hotels availability.
Visa
Single-entry tourist visa is included (if applicable) in the above tour cost. In case the visa is rejected, the booking amount will be refunded after deducting airline cancellation charges, visa charges, and service charges. If the tourist wishes to reapply, visa and service charges will be applicable again. If the visa is rejected within 34 days of the departure date, the package amount will remain non-refundable as per policy.
Transportation
Transportation will be provided by a private coach, depending on the final group size. Seat rotation policy is strictly followed, and passengers must adhere to the tour leader's instructions regarding seat allocation. Passengers are advised not to leave valuables behind when leaving the coach. All baggage and personal belongings remain the passenger's responsibility throughout the tour. The tour company and coach operator shall not be responsible for any loss of belongings from the coach. Any damage caused by a passenger to the coach during the tour shall be borne by the respective passenger, and the tour company shall not be held liable.
Sightseeing
Sightseeing is included as mentioned in the itinerary. Due to unavoidable circumstances, if any activity or sightseeing is missed, the tour company shall not be liable to provide any refund. Delays caused by passengers that inconvenience the group will not be the responsibility of the company. Any loss or damage occurring during activities shall be borne by the respective passenger. Instructions given by the Tour Manager or Guide must be followed by all passengers. Complimentary or free activities are non-refundable and are subject to weather conditions.
Meals
Continental breakfast will be provided at the respective hotel.
Lunch and dinner will be served at local Pure Vegetarian Indian Restaurants.
Packed meals may be provided at certain locations if required.
Any special meal requirements or food allergies must be informed to the company prior to departure.
Luggage
Each passenger is allowed 15 kg of check-in baggage and 5 kg of hand baggage during flights and coach travel. Any loss or damage to baggage during the journey shall be the sole responsibility of the passenger.
Health & Emergency During Tour
It is presumed that all tourists booking the tour have read the itinerary and are medically fit to travel. In the event of any health emergency or other medical issue during the tour, the guest shall be solely responsible for making their own arrangements. The company shall not be held responsible for any health-related issues or emergencies experienced by the passenger during the tour.
Refund
Any refund arising due to variation, modification, amendment, alteration, or cancellation of the tour shall be paid directly to the tourist by A/C Payee Cheque in Indian Rupees, calculated at the prevailing exchange rate on the date of issue, as per the regulations of the Reserve Bank of India (RBI).

Clients are requested to carefully read and understand the above cancellation policy before confirming their booking. These cancellation charges shall apply even if the cancellation is due to delays or refusal of visa by the concerned Embassy/High Commission at any point prior departure.
